How to fill it in

You need one year of data: electricity bills (kWh) for each site, gas bills (kWh), and fuel receipts or fuel-card reports (litres). If your air-conditioning or refrigeration was topped up, your service report will show the kilograms of refrigerant added and its type; enter the gas’s global warming potential from its data sheet. Fill in the yellow cells only; the green cells calculate automatically. Then work through the Scope 3 screening to see which supply-chain categories matter most for your business.

Prefer a quick number first? The online small business carbon footprint calculator gives a Scope 1 and 2 estimate in two minutes, no download needed.

Which standard does it follow?

The template follows the GHG Protocol Corporate Standard, the framework behind SBTi targets, CDP disclosures and most national reporting rules. Fuel factors come from the UK Government (DESNZ) 2025 conversion factors, which are widely used internationally; electricity uses national average grid intensity from Our World in Data and Ember. Read more in what is the GHG Protocol? and Scope 3 emissions explained.

Free template or full inventory?

The template is ideal for a first screening and for tracking Scope 1 and 2 year by year. A full inventory adds documented data collection, market-based electricity factors from your supplier, calculated Scope 3 categories (purchased goods, transport, travel, waste) and a written methodology you can share with customers, banks or SBTi. If you want a Scope 3 spend calculator, target tracking and a GRI 305 table in the same file, see the GHG Inventory Pro Workbook. If you would like the inventory done for you, see GHG inventory services.

Frequently asked questions

Is this GHG inventory template really free?

Yes. Download it, use it for your own business and edit it as you need. No sign-up is required.

Does it work in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets; the formulas and dropdowns work there too.

Does the template calculate Scope 3?

It includes a screening of all 15 Scope 3 categories and lets you add estimates. Calculating Scope 3 accurately needs category-specific data and factors, which the Pro workbook adds with a spend-based calculator, or a full inventory covers in detail.

Which emission factors are used?

UK Government (DESNZ) 2025 factors for fuels and national grid intensity for electricity (Our World in Data / Ember, mostly 2025). You can replace them with your national or supplier factors on the Factors sheet.
